We keep this short and clear. If you have a question, email hello@orrahq.com.

1. Who we are

Orra is a product of Clymb Marketing Ltd, a company registered in England and Wales ("Orra", "we", "us"). You can contact us at hello@orrahq.com.

This policy explains how we use personal data when you visit orrahq.com, sign up for Orra, or speak to us. It also explains our role when Orra answers calls for the businesses that use it.

2. When a business uses Orra to answer your call

If you call or message a business that uses Orra, that business is the controller of your information and decides how it is used. Orra acts as its processor, answering on its behalf and passing your details to it. Please read that business's own privacy notice, or contact it directly, about how it uses your information.

Orra will always tell you that you are speaking with an AI assistant if you ask, and you can ask to speak to a person or to be called back.

5. Who we share it with

We use carefully selected service providers to run Orra, including providers of cloud hosting and databases, telephone connectivity, speech and AI processing, email, analytics and payments. They may only use personal data to provide their services to us, under contracts that require them to keep it secure. A current list of our sub-processors is available on request.

We may also share information with professional advisers, with the partner who referred you (limited to whether you signed up and your plan), or where the law requires it.

6. International transfers

We store data in the UK and the European Economic Area wherever possible. Some of our providers may process data in other countries, including the United States. Where that happens, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or Addendum, or the UK Extension to the EU-US Data Privacy Framework.

7. How long we keep it

  • Account and sign-up records: for as long as you are a customer and for 6 years afterwards for tax and legal reasons.
  • Sign-up enquiries that do not go ahead: up to 2 years.
  • Call recordings and transcripts: for as long as the business we act for chooses, and deleted within 30 days of its subscription ending unless it asks otherwise.
  • Website analytics: up to 26 months.

8. Your rights

You have the right to ask for a copy of your personal data, to have it corrected or deleted, to restrict or object to how we use it, and to have it transferred to you or someone else. To use these rights, email hello@orrahq.com. We will reply within one month.

If your request is about a call you made to a business that uses Orra, we will pass it to that business and help it respond.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

9. Security

We protect data with encryption in transit and at rest, access controls, strong authentication for staff, and regular reviews of who can see what. No system is completely secure, but we work hard to keep your information safe and will tell you and the ICO about a serious breach where the law requires it.

10. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. If we make significant changes, we will tell customers by email.
